AI for Salon Business: Bookings, Posts and Customer Care
A practical guide to AI for your salon business in Nigeria: WhatsApp bookings, reminders, price lists, captions, no-show replies and festive promos.

Your phone buzzes all day. "Are you open Sunday?" "How much for knotless?" "Can I come by 4?" Meanwhile you are holding a comb, a client is under the dryer, and two more are waiting. By evening, half the messages are still unread.
Using AI for your salon business will not braid hair or fade a haircut. But it can write your replies, booking messages, price list, captions and promos in minutes. Here is how, with prompts you can copy, for a ladies' salon in Lekki, a barbershop in Kaduna or home braiding in Owerri.
In short:
- Use AI (free tools like ChatGPT, Gemini or Meta AI) to write booking replies, reminders, price lists, captions and promos.
- Save the best replies as WhatsApp Business quick replies so you can send them in two taps.
- Always get a client's permission before posting their before-and-after photos.
- Use AI to plan staff rotas and festive promos, but check dates, prices and names yourself.
- Use AI hairstyle images for ideas only. Never promise a client a style you cannot actually deliver.
What AI can do for a salon (in plain words)
AI (artificial intelligence) here means a chat app that writes text for you. You type an instruction, called a prompt, and it gives you a draft. The free versions of ChatGPT, Gemini and Meta AI (inside WhatsApp) all work for this. Our guide to free AI tools every Nigerian small business should try compares them.
The rule for every job below: AI writes the words, you make the decisions on prices, policies, schedules and what gets posted.
Step 1: Set up WhatsApp Business for bookings
Most Nigerian salons take bookings on WhatsApp, so start there. WhatsApp Business is a free app made for businesses. It includes greeting messages, away messages and quick replies, which are saved answers you can send fast, as WhatsApp's guide to the Business app explains. If you have not set these up, our guide to using WhatsApp Business and AI to reply customers faster walks you through it.
Use AI to write them. Try this prompt:
I run a ladies' salon in Lekki, Lagos. Open Tuesday to Saturday, 9am to 7pm, Sunday 1pm to 6pm, closed Monday. Write: 1) a warm greeting message for new customers, 2) an away message for when we are closed, 3) a booking reply that asks for their name, the style they want, preferred date and time. Each under 50 words. Friendly Nigerian tone.
Then use labels to sort chats. A label is a coloured tag you stick on a chat, like a sticker on a file, as WhatsApp's help page on labels explains. Good salon labels: "New booking", "Confirmed", "Deposit paid", "Regular client", "Owes balance".
Keep one booking record
AI does not manage your diary for you. Keep one place for bookings: a notebook, the free Google Calendar app, or a simple shared spreadsheet. If you double-book, no AI message will fix the vexed client waiting in your chair.
Step 2: Send reminders that reduce no-shows
A no-show is a client who books but does not turn up, and does not tell you. That wastes a slot you could have sold.
A friendly reminder the day before helps. Ask AI for a set:
Write 3 short WhatsApp appointment reminders for a barbershop in Kaduna: one for the day before, one for 2 hours before, and one asking the client to reply "YES" to confirm. Include [name], [time] and [service]. Polite, under 35 words each.
Save each as a quick reply, then fill in the details when you send. It takes seconds.
Step 3: Handle late and no-show clients politely
This is where many salon owners lose clients, or lose money. Decide your policy first (your rule), then let AI help with the words.
A common policy is a deposit: a part-payment by transfer before the appointment, which you keep if the client does not show. The amount is your choice. Write it clearly in your booking reply so nobody is surprised.
Prompts to try:
A client arrived 40 minutes late for a 2pm braiding appointment, and my next client is at 5pm. Write a polite WhatsApp message explaining that we can still do a shorter style today or rebook her for tomorrow. Calm, respectful, no blame.
A client missed her appointment without telling us. Our policy is that the ₦[amount] deposit is not refunded but can be used once for a new booking within 7 days. Write a kind but firm message explaining this.
Write a short line I can add to all booking confirmations explaining our deposit and lateness policy in simple words.
AI is good at taking the heat out of your words, but read the draft before you send.
Step 4: Write a clear price list
Turn this into a neat WhatsApp price list for my salon. Group by category (braids, weaves, natural hair, treatments, nails). Add a note that prices may change with hair length and that attachment is not included. Here are my prices: [paste your rough list].
Then add the services to your WhatsApp catalog, a product list inside your business profile where clients can see each item with a price and description, as WhatsApp's catalog announcement describes. Ask AI to write a one-line description for each style:
Write a 20-word description for "medium knotless braids, waist length" for a WhatsApp catalog. Mention how long it takes and how long it lasts, using these details: [your details].
Only state times and lasting periods that are true for your salon. AI may guess, and clients will hold you to it.
Step 5: Captions and before-and-after posts (with consent)
Before-and-after photos sell. But they show a real person's face, and that is personal data: any information that can identify a person, such as a face, name or phone number. In March 2026, the Nigeria Data Protection Commission warned against filming or photographing people and posting it online without their consent, as Premium Times reported. The Nigeria Data Protection Commission enforces the Nigeria Data Protection Act 2023 (NDPA), the law that protects people's personal information.
So, before you post:
- Ask the client clearly: "Can we post your photo on our Instagram and WhatsApp status?"
- Get the "yes" in writing. A WhatsApp message is fine.
- Offer to hide the face and show only the hair.
- Delete the photo if they later ask you to.
Never upload a client's photo to an AI tool without their permission either.
Now the captions:
Write 5 Instagram captions for a before-and-after photo of a silk press on natural 4C hair. Fun, confident, Nigerian tone. Include a call to book on WhatsApp. Under 30 words each. Add 5 relevant hashtags.
A call to action is the line telling people what to do next, such as "Send us a DM to book". A DM (direct message) is a private chat on Instagram.
Want posts in Yoruba, Igbo, Hausa or Pidgin? AI can draft them, but read our guide on whether AI can write in Pidgin, Yoruba, Igbo and Hausa before you post. For flyers, see how to design flyers with free AI tools.
Step 6: Festive season promos
Salons are busiest before Christmas, New Year, Easter, Eid, Valentine's Day and the wedding season. Plan promos early.
Plan a 3-week December promo for a salon in Port Harcourt. Include: an early-bird discount for bookings before 15 December, a group offer for bridal parties, and a gift voucher idea. Give me a posting schedule with one WhatsApp status and one Instagram post per week, with captions.
Write a Sallah greeting and promo message for a barbershop in Kano, offering a free beard trim with every haircut in the week before Eid. Respectful tone.
Eid dates depend on the sighting of the moon, so confirm the date before you print anything. Check discount sums too.
Step 7: Upsell products without sounding pushy
To upsell means suggesting an extra item that genuinely helps the client, such as a leave-in conditioner after a treatment.
I sell edge control, leave-in conditioner and satin bonnets at my salon. Write 3 short, natural things a stylist can say while finishing a client's hair to suggest one of these. Not pushy. Focus on how it helps the style last.
Write a WhatsApp follow-up message to send 2 weeks after a client's braids, asking how they are holding up and suggesting our scalp spray at ₦[price].
Step 8: Staff schedules
If you have three or more stylists, AI can draft a fair rota (a schedule of who works when).
Make a weekly rota for 4 stylists (Ada, Kemi, Halima, Joy) at a salon open Tuesday to Sunday. Each works 5 days, at least 2 stylists every day and 3 on Friday and Saturday. Everyone gets one weekend day off each month. Show it as a table.
Check it yourself. AI sometimes breaks its own rules, like giving someone six days. Fix it before you share.
Step 9: Hairstyle inspiration, used carefully
Some AI apps can create images of hairstyles from a description. That can help a client explain what she wants, or help you plan a new look for your page.
Use it with care:
- AI images can show styles that are impossible on real hair, or hair that looks unnaturally perfect.
- Do not post AI images as if they were your own work. That misleads customers.
- Do not upload a client's face to try styles on her without clear permission.
- Use real photos of your work for your portfolio.
A worked example: Tunde's barbershop
Take Tunde, who runs a three-chair barbershop in Ikeja, as an illustrative example. He kept losing Saturday slots to no-shows. He had AI write his greeting, booking reply and two reminders, saved as quick replies. He now asks for a small deposit by transfer for Saturday bookings, explained politely in a message AI drafted. Each week he asks AI for three captions, and posts photos only from clients who agreed in writing. He still cuts the hair; AI handles much of the typing.
Mistakes to avoid
- Posting client photos without written consent. It breaks trust and may break the law.
- Letting AI set your prices or times. It guesses. You decide.
- Sending AI replies unread. Fix names, times and tone before sending.
- Showing AI-made hairstyles as your work. Use real photos.
- Pasting client phone numbers into AI tools. Use placeholders like [name] instead.
Frequently asked questions
Can AI take bookings for my salon automatically?
Not with the free WhatsApp Business app alone. AI can write the messages, but you or your staff still confirm each slot. Fully automatic booking needs a paid booking system or a chatbot (a program that replies to messages on its own), so check its cost and whether it works in Nigeria first.
Which free AI tool is best for salon captions?
ChatGPT, Gemini and Meta AI all write good captions. Meta AI is handy because it is inside WhatsApp. Try the same prompt in two tools and keep the version that sounds most like you. Our guide on how to use ChatGPT for your business shows the basics.
Do I need permission to post a client's hair photo?
Yes, get clear permission first, preferably in writing. Offer to hide the face. If they later ask you to remove it, delete it.
