    How to Use WhatsApp Business and AI to Reply Customers Faster

    Set up WhatsApp Business features properly, then use AI to write quick replies, greeting messages and catalogue descriptions that save hours every week.

    For many Nigerian businesses, WhatsApp is the shop. Customers ask for prices, place orders and complain there. Replying fast wins sales, but typing the same answers all day is exhausting.

    The fix is to combine WhatsApp Business's built-in tools with AI-written messages.

    Step 1: Switch to WhatsApp Business

    If you still sell from personal WhatsApp, download the free WhatsApp Business app. You can keep the same number. You get:

    • a business profile (address, opening hours, website)
    • a product catalogue
    • greeting and away messages
    • quick replies (shortcuts for messages you send often)
    • labels to organise chats (New order, Paid, Delivered)

    Step 2: Let AI write your standard messages

    Open ChatGPT, Claude or Meta AI and use this prompt:

    I run [business] in [city]. Write the following for WhatsApp Business, each under 50 words, in a warm and professional tone:

    1. A greeting message for new customers
    2. An away message for when we are closed (we open [hours])
    3. Quick replies for: price list, delivery fees and timing, payment details, order confirmation, and "thank you for your order"

    Edit the results so the details are exactly right, then save them in Settings → Business tools.

    Step 3: Set up quick replies

    In WhatsApp Business go to Business tools → Quick replies and add shortcuts like:

    Now typing /delivery inserts the full message instantly.

    Step 4: Improve your catalogue with AI

    Customers trust clear catalogues. For each product, ask AI:

    Write a short WhatsApp catalogue description for [product]. Include size, material and price ₦[price]. Under 30 words.

    Add good photos taken in daylight, and keep prices updated.

    Step 5: Use AI for tricky conversations

    When a customer is angry or a situation is delicate, paste their message (remove personal details) into AI and ask for a calm reply. You stay professional even on a stressful day.
