AI Bookkeeping for Small Business: Invoices and Receipts
Use AI bookkeeping tools for your small business in Nigeria: sort expenses, build Sheets formulas, draft invoices and reminders, and read receipts safely.

You sell all day, collect transfers and cash, and promise to "write it down later". Later never comes. By month end, you cannot tell if the shop made money or just moved money.
AI bookkeeping for small business owners removes the boring part. A free AI chat tool can sort expenses, write spreadsheet formulas, summarise a month, draft invoices and reminders, and read a receipt photo. You still check the numbers. Here is how, with prompts you can copy.
In short:
- Use AI to sort expenses, write formulas, summarise months and draft invoices. Let the spreadsheet do the actual adding.
- AI can get maths wrong. Always check totals with a formula or a calculator.
- Never paste your BVN, account numbers, card details or customers' private details into an AI tool.
- Nigerian tax law requires every business to keep records for at least six years.
- When you have many sales, staff or VAT to handle, move to a proper accounting app and talk to an accountant.
What bookkeeping means, and where AI fits
Bookkeeping simply means writing down every naira that comes in and goes out of your business, in an organised way. The record is called your books. If you are new to this, read our simple bookkeeping guide for small businesses in Nigeria first. It explains the basic cash book this article builds on.
AI (artificial intelligence) here means a chat tool like ChatGPT, Gemini or Meta AI. You type an instruction, called a prompt, and it replies. Our practical starter guide to AI for Nigerian small businesses explains these tools in more detail.
A spreadsheet is a table on your phone or laptop made of rows and columns, like a ruled exercise book that can add up by itself. Google Sheets is free with a Google account. Microsoft Excel also works.
The simple rule: you record, AI suggests, the spreadsheet adds, and an accountant handles tax.
Why keep records at all? The law asks for it. Section 31 of the Nigeria Tax Administration Act 2025 says every person must keep books or records of accounts, whether or not they owe tax. The records must be in English (or translated on demand) and kept for at least six years. Confirm how this applies to you with an accountant or the Nigeria Revenue Service (NRS), the federal tax office that replaced FIRS under the 2025 tax reform laws.
Set up a simple sheet first
AI works best when your records are neat. Open Google Sheets and create these columns in row 1:
| A | B | C | D | E |
|---|---|---|---|---|
| Date | Description | Category | Money in (₦) | Money out (₦) |
Type each transaction on its own row. For example: "3 Nov 2026 | Bought 2 cartons of Indomie from Ogbete market | | | 18,400".
Leave the category empty for now. That is the first job for AI.
How to use AI bookkeeping for your small business: 6 jobs
Job 1: Sort expenses into categories
A category is a group name for similar spending, such as stock, transport, rent, data and airtime, or salaries. Sorting helps you see where the money really goes.
Copy your Description and Money out columns, without any names or account numbers, and paste them after this prompt:
I run a small provisions shop in Enugu. Put each expense below into one of these categories: Stock, Transport, Rent, Electricity and fuel, Data and airtime, Salaries, Repairs, Other. Reply as a table with three columns: Description, Amount, Category. Do not change any amount. Here is the list: [paste]
Paste the categories back into column C and scan every row. AI may put "fuel for generator" under Transport, so fix anything wrong.
Job 2: Get formulas written for you
A formula is an instruction you type into a spreadsheet cell so it calculates for you. It always starts with "=". You do not need to memorise any. Ask:
I use Google Sheets. Column C has categories, column E has money out in naira, from row 2 to row 200. Write a formula that adds up all Transport expenses. Explain where to type it in simple words.
The AI should give you something like =SUMIF(C2:C200,"Transport",E2:E200). SUMIF means "add up only the rows that match this word". Change "Transport" to any other category to see its total.
Also ask for "a formula for total money in minus total money out". That gives your rough profit or loss, meaning what is left after costs.
Some paid Google plans now include an AI feature inside Sheets called Fill with Gemini, as Google's Workspace update of July 2026 lists. You do not need it. A free chat tool plus copy and paste works fine.
Job 3: Summarise your month
Once the sheet has formulas for each category total, copy only the totals (not the full transaction list) into the AI and ask:
Here are my shop's totals for October 2026: Sales ₦1,240,000. Stock ₦780,000. Transport ₦64,000. Rent ₦50,000. Electricity and fuel ₦71,000. Data and airtime ₦12,000. Salaries ₦120,000. Write a short summary in plain English: what was my profit, which cost was biggest after stock, and 3 practical ideas to reduce costs next month. Show your working.
The ideas are useful. Do not trust the profit figure until it matches your own formula.
Job 4: Read receipts from a photo
Many AI apps can turn a photo of writing into typed text. OpenAI's free plan FAQ lists image and file uploads as available to free users, with daily limits. Free plan features change often, so check what your app allows as of October 2026.
- Take a clear photo of the receipt in good light, flat on a table.
- Crop out anything private, such as a card number or a customer's phone number.
- Upload it and type: "Read this receipt. Give me the date, seller and total as one row: Date | Description | Amount."
- Compare the answer with the paper. Handwritten market receipts and faded POS slips cause the most mistakes.
- Keep the original photo in a Google Drive folder named by month. Google Drive is free online storage, so the photo is safe even if your phone gets lost. That is your proof.
Job 5: Draft invoices and payment reminders
An invoice is a written bill that lists what a customer bought, how much they owe and how to pay. It helps with credit sales and bulk orders.
Draft a simple invoice for my business, Chika Provisions, Ogui Road, Enugu. Customer: [business name]. Items: 10 cartons of Peak milk at ₦[price] each, 5 bags of sugar at ₦[price] each. Invoice number INV-0012. Date: 4 November 2026. Payment due in 7 days. Leave a space for my bank details. Format it so I can paste it into Google Docs.
Add your bank details yourself in Google Docs, not in the AI chat. Check every price and the total with a calculator. For payment reminders:
Write 3 WhatsApp reminders for a customer who owes ₦45,000 on invoice INV-0012, now 5 days late. First one friendly, second one firmer, third one mentions that we will pause credit sales. Keep each under 50 words, warm Nigerian tone, no insults.
Save the good ones as quick replies, as explained in our guide to using WhatsApp Business and AI to reply customers faster.
Job 6: Spot unusual spending
Paste two or three months of category totals and ask:
Compare these three months of expenses. Point out any category that jumped by more than 20%, and suggest possible reasons I should check. Do not guess amounts; use only my numbers.
If "Repairs" doubled, it may be a broken freezer or padded receipts. AI only tells you where to look.

A worked example: Chika's provisions shop
Take Chika, who runs a small provisions shop in Enugu, as an illustrative example. She writes sales in a notebook and types them into Google Sheets every Saturday night.
- She pastes the week's expense descriptions into ChatGPT and gets categories back. She corrects two.
- Her SUMIF formulas, written by AI in week one, update the totals automatically.
- At month end the AI's summary says her profit is ₦122,000. Her formula says ₦123,000. She trusts the formula.
- The summary shows transport went up. She now goes to Ogbete market three times a week, so she switches back to bigger, less frequent trips.
- For a school that buys on credit, she drafts an invoice and two polite reminders with AI.
No customer names, bank details or BVN ever went into the chat.
The warnings you must not skip
AI can make maths mistakes
AI chat tools predict words. They are not calculators. Researchers have found that large AI models still make errors when adding many numbers, especially with carrying digits, as this study on why multi-number addition is hard for AI explains. So:
- Let the spreadsheet add. Ask AI for the formula, not the answer.
- When AI gives a total, check it with a calculator or your own formula.
Protect private and financial details
Never paste these into any AI tool: your BVN (Bank Verification Number, the 11-digit number that links all your bank accounts to you), account numbers, card details, internet banking passwords, or OTPs (one-time passwords sent by your bank). Also leave out customers' names, phone numbers and addresses where you can.
In ChatGPT, you can stop your chats from being used to train the AI. Go to Settings, then Data Controls, and turn off Improve the model for everyone, as described in OpenAI's Data Controls FAQ. Our step-by-step guide to using ChatGPT for your business shows this on a phone.
Know when to move to a proper accounting app
A chat tool plus a spreadsheet is fine for a one-person shop. Move to an accounting app (software built only for books, invoices and reports) when:
- Typing up dozens of daily sales takes hours.
- Staff handle money and need separate logins.
- You must charge or file VAT (value added tax, a tax added to the price of goods and services).
- A bank or investor asks for proper financial statements.
Options include Zoho Books, which has a Nigeria page and lists a free plan for small businesses (limits apply), QuickBooks and Wave. Check each pricing page before you sign up, and get an accountant to set things up.
Mistakes to avoid
- Copying an AI total straight into your records. Always confirm with a formula.
- Uploading a full bank statement. It contains account numbers and every person you transacted with. Type or paste only what you need.
- Sending an AI invoice without checking it. Wrong prices or a wrong total will cost you money and trust.
- Asking AI tax questions and acting on the answer. Tax rules changed with the 2025 reforms. Ask an accountant or check with the Nigeria Revenue Service.
Frequently asked questions
Can ChatGPT do my bookkeeping for me?
Not fully. It can sort, explain, write formulas and draft documents. You must still record transactions, check totals and keep receipts.
Do I still need an accountant if I use AI?
Yes, for tax filing, VAT, registering for tax and any big money decision. AI can prepare tidy records that make your accountant's job faster and cheaper.
How long should I keep my business records in Nigeria?
The Nigeria Tax Administration Act 2025 says at least six years after the tax year the income belongs to. Keep both the spreadsheet and the receipt photos, backed up online (for example in Google Drive), not only on your phone.
